1. Introduction

This Parental Consent Form explains how FacePass, operated by TechKluster LLC, collects and processes information about children who use the FacePass attendance and safety system.
As required under the Children’s Online Privacy Protection Act (COPPA), we must obtain verifiable parental consent before collecting, storing, or using personal information from a child under the age of 13.

This document outlines what data is collected, how it is used, who can access it, and how parents can exercise their rights.

2. Information We Collect About Your Child

FacePass collects the minimum information required to provide school attendance verification.

2.1 Photos and Face Embeddings

  • A photograph of the child (provided by the school or parent).

  • A mathematical face embedding generated from the photograph.
    This embedding is not a biometric template and cannot be used to reconstruct the original image.

2.2 Student Information

  • Student name

  • Student ID or roll number

  • Class or grade

  • School information

  • Check-in and check-out timestamps

  • Attendance photos taken during check-in/out events

2.3 Parent or Guardian Information

  • Parent or guardian name

  • Email address

  • Optional mobile phone number

FacePass does not collect location data, advertising identifiers, or any unrelated personal information.

3. How the Information Is Used

FacePass processes the collected information solely for the following purposes:

  • Verifying student identity for check-in and check-out

  • Notifying parents or guardians of attendance events

  • Providing attendance records to the school

  • Displaying check-in and check-out photos within the parent application

  • Ensuring the security and accuracy of the system

We do not use data for advertising, marketing, profiling, or resale.

4. Who Has Access to the Information

Access to child-related information is restricted to:

  • Authorized school staff

  • Teachers assigned to the student

  • Parents or legal guardians

  • FacePass technical support staff (limited to operational necessity)

FacePass does not share information with external third parties except for service providers used for secure hosting, such as Google Cloud (Firebase, Cloud Run, Cloud Storage, Firestore).

5. Data Retention

  • Attendance photos are retained for 90 days unless the school specifies a different retention policy.

  • Face embeddings and registration data remain stored until the student is unenrolled or a parent requests deletion.

  • All personal data will be permanently deleted within 30 days of a valid deletion request.

6. Parent and Guardian Rights

Parents and guardians have the right to:

  • Access their child’s information

  • Request corrections

  • Request deletion of all data

  • Request a copy of stored data

  • Withdraw consent at any time

7. Revoking Consent

Consent may be revoked at any time by:

  • Contacting FacePass at privacy@getfacepass.app

  • Contacting the child’s school

  • Using the “Delete Child Data” function within the parent application (if available)

Upon revocation, all associated data will be deleted within 30 days.

9. Email Verification Requirement

After submitting consent, a confirmation email will be sent to the parent or guardian.
Consent will only be considered valid after the verification link is confirmed.
